- Description: A short, practical meeting preparation checklist you can copy: what to do the day before, an hour before and ten minutes before any important call.

Most meetings go wrong in the same few ways: nobody is sure what the goal is, someone asks a question you can't answer, or the call starts late because the audio doesn't work. A little preparation fixes all three.

This checklist has twelve steps in three stages. It takes about 20 minutes for an important meeting, and less once it becomes a habit. Copy it into your notes app or save the image below.

## The checklist

### The day before: plan

- **Write the goal in one sentence.** “Agree on the launch date” is a goal. “Discuss the launch” isn't.
- **Read the agenda and the invite list.** Note who will be there and what each person cares about.
- **Decide what you need from the meeting.** A decision, an approval, a date or a name. Write it down.
- **Gather numbers, dates and files.** Budgets, deadlines, the last report. Anything someone could ask about.

### One hour before: prepare

- **List five questions they may ask you.** Think about status, cost, timing, risks and what you need from them.
- **Write a one-line answer for each.** Short answers are easier to remember and easier to say.
- **Put the key facts in one note.** One place, not five tabs. You won't have time to search during the call.
- **Prepare one question of your own.** It keeps you active in the conversation and shows you read the material.

### Ten minutes before: go

- **Test your audio, camera and meeting link.** Join a minute early if the tool allows it.
- **Open your notes next to the call.** Side by side, so you can glance at them without switching windows.
- **Close distracting tabs and notifications.** Email and chat can wait 30 minutes.
- **Have a pen or a doc ready for action items.** Write down who does what, and by when.

## Why the question list matters most

If you only have ten minutes, do the second stage. Being asked a question you can't answer is the moment that makes a meeting feel bad, and it's the easiest one to prevent. Most questions in work meetings fall into five groups:

- **Status:** where are we?
- **Cost:** how much, and who pays?
- **Timing:** when will it be done?
- **Risk:** what could go wrong?
- **Next steps:** what do you need from us?

Write one line for each, with the real number or date. For a deeper guide to this step, read [how to prepare for a meeting so you're never put on the spot](https://www.sidecue.app/blog/how-to-prepare-for-a-meeting/).

When a question you prepared for comes up, Meeting coach shows the answer from your notes.

## Keep your notes in one place

A checklist only helps if the facts are easy to find during the call. Put the agenda, names, numbers and the files you'll need in one note before the meeting starts. If you join calls in your browser, Sidecue's Notes tab is a good place for this: add the agenda and up to five files, and they sit next to your meeting.

The agenda and two files in Sidecue's Notes tab, ready before the call starts.

During the call, [Sidecue's Meeting coach](https://www.sidecue.app/meeting-coach/) listens to your meeting tab and spots questions aimed at you. A few seconds later it drafts a short answer from your notes and files, with the key facts in bold. Turn on **Stick to my notes** and it answers only from what you added. No bot joins your call, and Sidecue only listens after you press Start.

## After the meeting

Preparation for the next meeting starts at the end of this one. Spend five minutes on these:

- Send the action items, with owners and dates, the same day.
- Write down any question you couldn't answer, and find the answer.
- Add new facts to your notes, so they're ready next time.

## Try it on your next call

Use the checklist before your next important meeting and see which step saves you the most time. If you want answers on screen while you talk, add Sidecue to Chrome and try it in a [practice call](https://dashboard.sidecue.app/practice?ref=sidecue.app) first. The free plan includes 30 minutes a month. The [user guide](https://www.sidecue.app/instructions/) walks you through setup in two minutes.

## FAQ

### How long should meeting preparation take?

About 20 minutes for an important meeting, and five to ten for a routine one. The question list and one-line answers are the part worth doing every time.

### What if the meeting has no agenda?

Ask for one. A short message like “Could you share the main topics, so I can prepare?” is polite and usually gets a reply. If not, write your own goal and questions anyway.

### Does this checklist work for meetings in a second language?

Yes, and preparation matters even more there. Writing your answers in advance means you don't have to build sentences under pressure. See also [how to speak up in meetings when you're not a native speaker](https://www.sidecue.app/blog/speak-up-in-meetings-non-native/).
